Elvyn Richards Hall Guidlines
These guidelines summarise the main points that need to be observed whilst living in this hall of residence. This is not intended to be an exhaustive list of hall dos and don’ts, please use your common sense and respect the other members of this community at all times.
Subwardens
1Subwardens act on behalf of the Warden; students are expected to cooperate with them at all times.
2Each block has a Subwarden who shares the Warden’s responsibility for the safety and welfare of the students who live there.
3The Subwardens operate a duty rota. Please check the rota before waking up a Subwarden – when they are off duty they need to catch up with their sleep! Please note that the changeover of duty weeks happens on Mondays and Fridays. ie the Subwarden on duty on Sunday night remains on duty until 8am on Monday morning and the Subwarden on duty on Thursday night remains on duty until 8am on Friday morning.
4Subwardens are on duty from 6pm-8am weekdays and all weekend.
5In the event of an incident that needs to be dealt with immediately and the Reception Hub is closed then contact the Duty Subwarden. In the case of ongoing concerns, you may approach any member of the Wardening Team, but we recommend contacting your Block Subwarden or the Warden.
6The allocation of blocks to Subwardens is as follows:
•Blocks A and D – James (located at the end of Block A)
•Blocks B and C – Ilona (located at the end of Block B)
•Blocks E and F – Pawan (located at the end of Block F)
•Block G – Lesley (you lucky people get the Warden!)
Fire Safety
1Familiarise yourself with the instructions on the fire notices posted in the hall.
2Fire Safety equipment should only be used for the purpose for which it is provided. Any interference with the fire safety equipment is a CRIMINAL OFFENCE.
3On hearing the evacuation alarm leave the building immediately and calmly make your way to the assembly point. Inform a member of staff if you believe someone may be trapped in the building. Wait at the assembly until you are informed by a member of staff that it is safe to return to your block or are given other instructions.
4 If you discover a fire, sound the alarm immediately, evacuate the building and gather at the assembly point. Do not attempt to tackle a fire unless you have received training to do so.
5Fire drills are held each semester and your full cooperation is expected.
6Keep kitchen and flat doors closed at all times – they are fire doors, which have been installed for your safety.
7Naked flames, including candles and tea lights, are not permitted in hall.
8Use the correct fuse rating for your electrical equipment, never overload the sockets.
9Barbeques may only be held with the prior agreement of the Warden – see separate guidelines.
10SMOKING IS NOT PERMITTED in any building on the campus, this includes your all areas within your accommodation blocks and your individual rooms.
Noise
1Students should endeavour to respect their neighbours and keep noise to a reasonable level at all times.
2There is a noise curfew of 11pm, which all students are expected to observe – noise must be kept to a reasonable level at all times.
3Parties are not allowed in bedrooms or flats.
4Additional rules regarding noise are in force during examination periods during the final four weeks of each semester. The Warden will notify you of these at the appropriate times.
Breakages
1You will be charged for any damage that you cause in hall.
2Bedrooms and flats are regularly checked, you will be charged for any damage in your room or flat.
3Damage in communal areas will be charged to those living in the vicinity.
4Ball games may not be played in hall, either in the flats or the courtyard as damage and noise is often the result.
Personal Safety and Security
1When leaving your room, shut your window and lock your door to reduce the risk of burglary.
2If you lose your key go to the Reception Hub where you can be issued with a spare key, if the key is not found you will be charged £15 for a replacement. If the Reception Hub is closed then the Duty Subwarden can give you access to your room, but only ask as a last resort.
3If you see someone suspicious around the hall contact the Hall Manager, Duty Subwarden or Security immediately.
4Avoid walking home alone in the dark.
5Basic insurance is included in the cost of your hall fees, but it is advisable to insure valuable items separately, for example laptops.
6Make use of the bike sheds that are available in hall – keys are available from the Reception Hub.
Drugs and Alcohol
1Alcohol is not allowed in the dining hall.
2Being under the influence of alcohol is not an acceptable excuse for inconsiderate behaviour.
3Please make yourself aware of the Alcohol Awareness Campaign sponsored by your Students' Union.
4Drug abuse is strongly discouraged at Loughborough University – the penalties for bringing and/or using illegal drugs on university property are severe.
Disciplinary Procedures
1The Warden has been empowered by Loughborough University to impose fines fro minor offences.
2The Warden will impose fines for serious and/or persistent disregard of the Hall Guidelines or any other behaviour that she considers to be unreasonable.
3Major offences are referred to the Chief Operating Officer.
4Monies raised from fines are donated to the Student Hardship Fund.
